Send password-encrypted files automatically
iQ.Suite Tips & Tricks for IBM Domino
Since iQ.Suite version 13.2 you can automatically compress and password-protect documents before sending using the Convert Documents module.
Step By Step
To administer the Convert module you need the "new Administration Console" (see notes for installation instructions)
Opening the new Administration Console
Creating a new job:
Select "Job" (in the Convert section) followed by "New: Compress PDF Job"
Enter a name and a job priority
Under the "General" tab and using the mail rules (administered in the old Administration Console) define the conditions under which the job is to be performed.
Switch to the "Selection" tab
As the file (including previously compressed files) is to be encrypted, the job is applied to ALL file types.
Now switch to the "Operations" tab
Here activate "Protect compressed attachments" and set a password
Important: The password is set in the job and cannot be assigned dynamically. If different passwords are desired/required for different recipient groups, several jobs will be needed..
Save the job
Now you can create an e-mail:
The original attachment is now a ZIP file that requires a password to be opened.
1.) New Administration Console (Notes client 8.0.2 or higher required)
1.1) Expand Notes client
Before the new Administration Console can be used, the Notes client must be expanded to include the iQ.Suite widget. Familiarity with widgets is assumed
1. Install iQ.Suite. Note that the new Administration Console is only available from iQ.Suite version 12.3 onwards.
2. Check that the iQ.Suite file directory on the Domino server under contains the file admin_frontend.xml and the database g_update.nsf. The database contains the client extensions (plug-ins); the XML file defines the location of the database.
The widgets toolbar must be displayed for the 'My Widgets' Notes area to appear. The settings required for this in the Notes client depend on the used client version.
In Notes client 8.0.2 the setting can be found under: FILE -> PREFERENCES ->
’WIDGETS’ AREA -> CHECK BOX: DISPLAY WIDGETS TOOLBAR AND 'MY WIDGETS' SIDEBAR PANEL.
1.3. Include the admin_frontend.xml file in the Notes client:
a) In the Administration Console click on the Widget Distribution button
b) Check that the image of the iQ.Suite widget is available by clicking on Test.
The purpose of the image is merely to render the iQ.Suite widget identifiable among the other widgets and has no effect on its functionality.
> If Server Address (HTTP) includes the correct server, the image of the iQ.Suite widget will be displayed in the browser: The default value(s) is (are) determined from the data in the Notes address book.
> If Server Address (HTTP) does not include the correct server, enter the server via which the iQ.Suite widget can be accessed. The HTTP server task must be run on this server.
c) Check that the correct server has been specified in the server address (NRPC). This is the server that is used to access the XML file admin_frontend.xml of the iQ.Suite widget. The NRPC server task must be run on this server.
d) Click on the UPDATE WIDGET button to transfer the server address (HTTP) and/or server address (NRPC) to the XML fadmin_frontend.xml file.
The iQ.Suite widget is updated.
1.4. Drag the XML file admin_frontend.xml and drop it in the 'My Widgets' sidebar panel. The components are installed and the Notes client restarted. This can take a few seconds.
1.5. Under PREFERENCES -> IQ.SUITE -> CONFIGURATION click on ADD:
1.6. Check the following:
a) The server name ('Common name')
and the IP address of the Domino server have been entered correctly.
b) The server is pointing to the correct iQ.Suite data directory.
1.7. If iQ.Suite is installed on several servers, you can switch between servers via the new Administration Console:
Define additional servers if needed by clicking on ADD
